Events + Experience Coordinator

We are seeking a passionate self-starter and dream builder to help coordinate live + virtual events and experiences not only internally on the team, but also with external clients. These experiences encompass interactions in the office, throughout social media and while at events. The Events + Experience Coordinator will also be a part of the design and execution of select client live + virtual events and will spend their time helping to provide administrative support to the team. Many of these events will take place throughout the five-state region; however, some will be located in other parts of the country. Candidates must be willing to work occasional evenings, weekends and have the ability to travel out of state for multi-days for events.   

Duties May Include, But Not Limited To:

  • Create meaningful and engaging experiences that align with company values and culture for the internal team as well as external clients 
  • Coordination of various logistical items, timelines and schedules as it pertains to select client events including: 
    • event research
    • design
    • set-up + tear-down 
    • post-event analysis 
  • Manages relationships with event vendors and contract negotiations 
  • Assist the CEO with scheduling of client appointments, preparing correspondences, calendar management and other executive tasks, all while maintaining confidentiality
  • Work side-by-side with the team of Event Designers + Graphic Designers + Interns to provide administrative support through: 
    • inventory management
    • development of project plans 
    • scheduling of vendor meetings
    • implementation of communications plans 
    • development of event design mood boards for client presentations 
  • Maintenance and tracking of all internal corporate expenses 
  • Website + social media management 
  • External client stewardship 
  • Prompt communication with all current and prospective clients as well as event partners, vendors and team members

Experience Required:

  • Bachelor’s degree in Hospitality Management, Marketing or Communications 
  • At least one year of professional event planning experience and two years of administrative support experience 
  • Excellent interpersonal verbal + written communications
  • Thrives in a fast-paced, dynamic start-up environment
  • Highly organized with ability to multitask and manage various projects at once
  • Self-starter with proven experience to prioritize and execute successful and memorable events
  • Innovative + creative with strong problem-solving skills 
  • Social media savvy on platforms like Facebook, Twitter, Instagram, YouTube, iTunes and LinkedIn  
  • Experience in video editing software like iMovie, Final Cut Pro X
  • Strong proficiency in G Suite + MS Office + DropBox 
  • Experience in project management applications like Asana, Trello, and Basecamp (both web + mobile) 
  • Ability to lift and/or move up to 50 pounds 
  • Must possess and maintain a valid motor vehicle driver’s license
  • Willingness to travel


This is a full-time position with a competitive salary. Salary is based on experience plus incentives for new client acquisition.
